For what purposes do we use your personal data?
We obtain various personal data from you. For each purpose, we indicate what data we obtain from you, for what purpose we process it and for how long it will be stored. Contact and complaint handling
When you send us an e-mail, create a support ticket (including feedback), contact us by phone or otherwise contact us, you accept our offer to engage with us (performance of the agreement).
For this purpose, we process the following personal data:

- Business contact details (if you are contacting us for business purposes)
- Contact details (e-mail address and/or phone number)
- Any information you enter yourself as the content of a message
We store these interactions with the personal information you provide for the purpose of conducting the contact and possibly handling your complaint. We keep this information for as long as necessary for this contact because we want to ensure that we have handled your question or complaint properly.
Creating an account
It is possible to create an account as part of our services. Using your account you can, among other things, submit tickets if you have a question, comment or feedback. We need data from you to create an account for you (performance of the agreement).
For this purpose, we process the following personal data:
- Account information
- Name
- Company name (if you are contacting us for business purposes)
- Contact details (e-mail address and/or phone number)
- IP address
References
On our website we present several references from our staff and customers. In this way we try to give you a complete picture of our services. We process this data on the basis of permission from the reviewers. This consent can easily be revoked at any time by contacting us via the contact details at the bottom of this statement.
For this purpose, we process the following data:
- Name of the reviewer
- Name of the organization where the reviewer is employed
- Any photos provided by the organization/reviewer
- Any personal data as the content of the message
We need this information to assess the reference and process it on the website. We keep the data until you withdraw your consent to publish the message.
Newsletters
Through our website you can sign up for various newsletters from Decos (permission). We send various newsletters by e-mail containing product developments, events and other relevant messages from Decos. If desired, we can also send personalized messages based on your preference. The frequency depends on the type of newsletters you subscribe to.
For this purpose, we process the following data:
- Name
- E-mail address
- Organization
- Your role within your organization
- Preference for certain newsletters
We keep your data until you unsubscribe from our newsletter. Should you no longer wish to receive the newsletter, you can unsubscribe at any time using the link at the bottom of the newsletter.
Request a demo
If you would like to learn more about our services or products, you can submit a demo request online via our registration form. We need some personal data from you to process your request. We process this data to fulfill the assignment you have given us.
For this purpose, we process the following personal data:
- Name of contact person
- Contact details (e-mail address and phone number)
- IP address
Registering for a webinar
We also regularly offer webinars for which you can register. In order to process your registration, we need certain personal data from you (performance of agreement).
For this purpose, we process the following personal data:

- Position
Working at Decos
Have you responded to one of our vacancies or submitted an open application? If so, we process your personal data in order to process your application and in preparation for possibly concluding an employment contract.
For this purpose, we process the following personal data:
- Name and address data
- Contact details (e-mail address and phone number)
- Work experience
- Educational attainment
- Curriculum vitae
- Motivation letter
- References
- Any other information you send with your application
We will retain your application data for up to 4 weeks after the position is filled. We store this data so that we can contact you in case the position becomes available again within the probationary period. If we are unable to offer you a position at this time, we may – with your consent – retain the application data for an additional year. You can withdraw your consent at any time by sending us an e-mail. If you join us, we will save your application data in the personnel file. This file will be kept as long as necessary and in respect of the application data.
A social media and internet screening may be part of the application process. This is necessary to ensure that our image is maintained when hiring new staff. We therefore do this on the basis of our legitimate interest. To this end, we search your name via Google, and your profile on various social media, if applicable. This of course insofar as these profiles are public; we will not ask you to grant us access to a protected social media page or make a connection with us. The results of the research will be discussed with you. Should you object to this, you can indicate this to us at the time of your application.
Fixi.nl / Fixi.de / Fixi.es
We offer an application called Fixi to make reports related to the public space. If the client has given us the assignment, we send the notification and the client is the data controller for your data. If the report relates to a region for which we have not been commissioned, we are responsible for the processing. We process the data based on the assignment you have given us to forward the report to the appropriate authority (performance of the agreement). In this case, the authority is also the independent data controller. For more information, refer to the relevant authority's privacy statement.
For this purpose, we process the following data:

- Address (optional)
- Location of report
- Location notes
- Description of the report
- Photos
- E-mail address and/or phone number
Depending on the location, it is also possible to make reports anonymously.
Application
We offer a mobile application through the App Store and Google Play. Through the app, you can use our services (performance of the agreement).
For this purpose, we process the following data:
- Name
- Login information
- Apple ID
- Google Play account
- Location details
We offer a SaaS platform that facilitates processes and workflows for organizations. The organization has the option of creating a (guest) user account on the platform. This is done on behalf of the organization. For more information about the processing of your data, please consult the privacy statement of the organization in question.
When may we share your personal data with third parties?
Decos only shares your data with third parties when permitted under current legislation. We may provide your personal data to third parties because:
- we have engaged them to process certain data;
- we have a legal basis for doing so;
- we are required to do so by law (for example, if the police demand it in the case of suspected crime).
The parties that process personal data on our or your behalf are:
- IT suppliers and service providers
- Hosting parties
- Cookie service providers
- Payment service providers and collection agencies
- Mail order companies
- Government agencies (including the Dutch Tax and Customs Administration, municipalities)
Decos may further share your personal data with data controllers that are part of the Decos group of companies, based on a legitimate interest for internal administrative purposes within the group, or if it is necessary to execute the agreement with you. This means that your personal data may be accessible to employees of other entities within Decos. The employees of these entities will only have access to your personal data to the extent necessary for their role. Naturally, all employees handle your data with care, and other entities will not use the personal data for other purposes without a legal basis.
Some of our suppliers are located outside the European Economic Area ("EEA"). In that case, we ensure that appropriate safeguards are in place to protect your privacy.
This privacy and cookie statement applies exclusively to Decos services. We are not responsible for the privacy policies of other websites that are accessible via a link on our websites.

Security of personal data is of great importance to us. We constantly adapt security and pay close attention to what could go wrong.
What privacy rights do you have?
- Right of access: you have the right to inspect the personal data we process about you.
- Right to rectification: you have the right to correct or supplement the personal data we process about you if it is inaccurate or incomplete.
- Right to object: you can object to the processing of your personal data, including direct marketing.
- Right of deletion: you can request us to delete your personal data.
- Right to withdraw your consent: if you have given us consent to process personal data, you may withdraw this consent at any time.
- Right to data portability: if it is technically possible, you have the right to have the personal data we process about you transferred to a third party.
- Right to restrict processing: in some cases, you can request us to restrict (temporarily or otherwise) the processing of your personal data.
With your request, we may ask you to identify yourself. We request information for this purpose to ensure that you are the correct person to whom the personal data belongs.
In principle, we will comply with your request within one month. However, this period may be extended for reasons related to specific privacy rights or the complexity of the request. If we extend this deadline, we will inform you in a timely manner.

Submit questions or complaints
If you have any questions or would like to submit a complaint about the use of your personal data, you can send an e-mail to security@decos.com. We will address each question and complaint internally and communicate this with you. If you feel we are not helping you adequately, you have the right to submit a complaint with the Dutch supervisory authority. This is called Autoriteit Persoonsgegevens (Dutch Personal Data Authority).
